How do I run the Chrisman Reports?

The Chrisman Reports are available in WebCATS and are compatible with the Chrisman requirements. Following are the instructions for using WebCATS to meet those requirements:

Getting Started

Select View|Chrisman Reports. This will open the following report selections:

The Report section includes the three different reports that you will use throughout the process. These reports are designed to automatically filter for clients who have received five or more hours of prep and contact counseling time within the year specified in the Calendar Year pick list.

Beneath the Report section is the Clients pick list. This pick list contains three options: "All Clients", "Survey Respondents Only", and "Survey Non-respondents Only". The latter two options determine a subset of clients based on the presence of a "Responded to Chrisman Survey" Milestone record. Depending on which phase of the process you are in, you will select one of these options as the subset on which you'll run a report.

For Selected Center(s), generally you will want to select all applicable centers. The reason for this is that in the case of cross-center counseling a client may have received a total of five hours of counseling between two or more centers; therefore running the report on just the client's home center would mean that client would potentially not be counted for the Chrisman Study.

For Funding Source(s), generally you will choose "SBA".

The Calendar Year pick list defaults to two years prior to the current reporting year, reflecting the session activity that took place within that time frame.

Step 1

First Mailing: For the first round of survey mailings, set the Clients pick list to "All Clients" and run each mailing label report in turn. This will provide you with mailing labels for Existing clients (white questionnaire) and Pre-venture clients (yellow questionnaire).

Demographic Data Form #1: With the Clients pick list set to "All Clients", run the Demographic Data Form report. This provides you with the results for Demographic Data Form #1.

Logging Responses: When the ASBDC returns the copies of respondents' questionnaires, for each client who responded you must in turn create a "Responded to Chrisman Survey (Calendar Year 20YY)" Milestone record, where YY is the year in which the client received the five or more counseling hours in question.

Step 2

Second Mailing: For the second round of survey mailings, once you have created milestones for all of the survey respondents from the first mailing, set the Clients pick list to "Survey Non-respondents Only" and run each mailing label report in turn. This will provide you with mailing labels for Non-respondent Existing clients (light blue questionnaire) and Non-respondent Pre-venture clients (pink questionnaire).

Logging Responses: When the ASBDC returns the copies of questionnaires from those who responded to the second mailing, for each client who responded you must in turn create a "Responded to Chrisman Survey (Calendar Year 20YY)" Milestone record, where YY is the year in which the client received the five or more counseling hours in question.

Demographic Data Form #2: Set the Clients picklist to "Survey Respondents Only", and run the Demographic Data Form report. This will provide you with the results for Demographic Data Form #2.

Step 3

Demographic Data Form #3: You can use the "Economic Impact/Capital Infusion" worksheet to obtain counseling hours for the Demographic Data Form #3 1a and the Demographic Data Form within the Chrisman Module in WebCATS for your totals for 1b.

1a: Run the worksheet setting the cumulative and current start dates to January 1st of the reporting year, and the end date to December 31st of that same year. The total in line 14a "Total Client Hours" corresponds to 1a of the Demographic Data Form #3.

1b: The 1b requirement is actually two different values, one for pre-venture clients and the other for in-business clients. These totals can be found by running the Demograpic Data Form report within the Chrisman module with the Clients picklist set to "All Clients" and the appropriate Centers and Funding Sources chosen. Your totals for 1b will appear under the Total Clients heading as illustrated in the next graphic:
